Freelancers bill in different ways: by the hour, by the day, by project or with a deposit and a balance. Whatever the model, a good freelance invoice makes the client’s accounts department say yes quickly: a clear description of the work, the dates, the agreed price and how to pay.

The example above shows a project billed in stages. Replace the lines with your own work, set your currency and tax, and save your details so the next invoice takes seconds.

What to put on a Freelance Invoice

  • Your name or trading name. Plus your address, email and, if you are registered, your tax or VAT number.
  • The client’s legal name. Use the company name that will pay, not just your contact person.
  • What you delivered. Name the project and the deliverables, with dates or a period, so nobody has to ask.
  • Rate and quantity. Hours × hourly rate, days × day rate, or one line per project milestone.
  • Payment terms and details. Due date, bank details or a payment link, and late fees if your contract has them.

Questions about the Invoice Generator

Should freelancers charge tax on invoices?

Only if you are registered for VAT, GST or sales tax in your country. If you are not, turn tax off and do not show a tax number. Some countries require a sentence explaining why no tax is charged.

How do I invoice a deposit?

Send a first invoice for the deposit (for example 30%), then a final invoice for the full price minus the deposit already paid. Use “Amount paid” to show it.

How often should I invoice a long project?

Invoice at agreed milestones or every month. Smaller, regular invoices are paid faster than one large invoice at the end.
