What is a Employment Certificate?

An employment certificate (proof of employment, or work certificate) is a letter in which an employer confirms that a person works or worked for the company, in which position and since when. Banks, landlords, embassies and administrations ask for it.

What an employment certificate contains

  • The employer’s details. Company name, address and registration numbers, ideally on letterhead with the logo.
  • The employee’s identity. Full name and ID number, so the certificate cannot be confused with another person.
  • Position and dates. The job title, the start date and, for a former employee, the end date.
  • Purpose. A sentence saying the certificate is issued at the request of the person concerned.
  • Place, date and signature. Signed by a person authorised to represent the company, usually with the company stamp.

How to write an employment certificate

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Mistakes to avoid

  • Giving information the employee did not ask for, such as the reason for leaving: keep to the facts requested.
  • Forgetting the ID number, which some banks and embassies require.
  • An unsigned certificate: without a signature and stamp it is rarely accepted.

What is the difference with a salary certificate?

An employment certificate confirms the job and the dates. A salary certificate also states the pay; for that, attach recent payslips or add the salary in your own text.

Can I change the wording?

Yes. Open “Letter wording”, click “Edit the standard text” and change it as you wish.

What if the employee has left?

Fill in the end date: the letter switches to the past tense and shows both dates.
