What is a Donation Receipt?

A donation receipt acknowledges a gift of money or goods to a non-profit organisation. Donors keep it for their records and, where the law allows, for tax deductions.

What to include on a donation receipt

  • Organisation name and registration number. Include your charity or association number if you have one.
  • Donor name and address. Who made the gift.
  • Date and amount. Or a description of goods donated.
  • Payment method. Cash, cheque, transfer or card.
  • Statement about goods or services received. Many tax systems require a note saying whether the donor received anything in return.
  • Authorised signature. Someone entitled to sign for the organisation.

How to write a donation receipt

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Donation receipt mistakes to avoid

  • Putting a value on donated goods yourself when the rules say the donor must value them.
  • Missing the organisation’s registration number.
  • Sending receipts late: donors often need them at the end of the tax year.
