What is a Payment Reminder?

A payment reminder tells a client that an invoice is overdue and asks them to pay. It lists the unpaid invoices and the total due, and moves from a friendly first reminder to a firm final notice before further action.

This free payment reminder generator writes the letter for you: choose a first reminder, a second reminder or a final notice, list the overdue invoices and download a professional PDF. It works as an overdue invoice letter template and a payment demand letter you can send by email or post.

What to include in a payment reminder

  • A clear subject line. Say at once that the letter is a payment reminder, and whether it is the first, the second or a final notice.
  • The overdue invoices. Invoice number, invoice date, due date and amount for each one, so the client can find them in their records.
  • The total amount due. One figure the client can pay without adding anything up, in the right currency.
  • A deadline. A date or a number of days to pay, especially in the second reminder and the final notice.
  • How to pay. Bank details or a payment link, so nothing stands between the reminder and the payment.

How to write a payment reminder

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Mistakes that slow down payment

  • Waiting too long: send the first reminder a few days after the due date, while the invoice is still fresh.
  • An angry tone in the first reminder: most late payments are oversights, and a polite reminder keeps the client.
  • No payment details: if the client has to search for your bank account, the payment waits.

Questions about the Payment Reminder Generator

When should I send a payment reminder?

A first reminder 3 to 7 days after the due date works well, a second about two weeks later, and a final notice when the second reminder has gone unanswered.

Can I add several invoices to one reminder?

Yes. List every unpaid invoice in the table; the total due is calculated for you and written in the letter.

Can I change the wording of the letter?

Yes. The letter is written from your details, and you can edit the standard text or replace it with your own in “Letter wording”.

Is the Payment Reminder Generator free?

Yes, completely. There is no sign-up, no watermark and no limit on how many documents you create.

Is my data safe?

The document is built entirely in your browser. Nothing you type is sent to our servers; drafts are kept only on your device.
