What is a Quote?
A quote (or quotation) is a fixed-price offer for goods or services, valid until a set date. Once the client accepts it, the price is agreed and the quote can be turned into an invoice or sales order.

What to include on a quote
- Quote number and date. So the customer can refer to it when accepting.
- Validity date. How long the prices are guaranteed, commonly 14 or 30 days.
- Scope of work or products. Exactly what is included, so there is no argument later about extras.
- Prices, tax and total. Unit prices, quantities, tax and the total the customer will pay.
- Terms and conditions. Deposit, payment schedule, delivery time and what happens if the scope changes.
- Acceptance section. A signature line or instructions for accepting the quote.
How to write a quote online
- Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
- Add the other party's details and the document number and dates. Numbers increase automatically.
- List the items. Quantities, prices, taxes and totals update in the preview as you type.
- Pick a template, colour and document language, then click "Download PDF" or "Print".
Quoting mistakes to avoid
- No expiry date, which lets a customer accept an old price months later.
- Unclear scope: list what is excluded as well as what is included.
- Forgetting tax, so the final invoice is higher than the agreed quote.

Questions about the Quote Generator
What is the difference between a quote and an estimate?
A quote is a fixed price that you commit to if the customer accepts within the validity period. An estimate is an approximate price that may change as the work progresses.
Is a quote legally binding?
Once the customer accepts it, a quote usually forms part of the contract, so the agreed price applies. Always include an expiry date and clear terms.
How do I turn an accepted quote into an invoice?
Use “Convert to” and choose Invoice. The customer, items and prices are copied and a new invoice number is created.
