For real transactions only. Creating false or misleading documents is illegal and prohibited by our Terms.

Website projects mix one-off work (design, development, content) with recurring costs (hosting, domain, maintenance). Keep them on separate lines, and mark recurring items with their period so the client knows what renews.

If you resell hosting or a domain, show it as a pass-through cost. For maintenance retainers, invoice monthly with the month in the description.

What to put on a Web Design Invoice

  • Project phases. Design, development, content entry, testing and launch.
  • Recurring services. Hosting, domain and maintenance with their period.
  • Third-party costs. Paid themes, plugins or licences bought for the client.
  • Hourly work. Change requests after launch, at your hourly rate.
  • Ownership. When the client receives full access and ownership of the code and accounts.

Questions about the Invoice Generator

How do web developers usually bill?

A deposit at the start, a payment at design approval and the balance at launch is common; ongoing work is billed monthly.

Should hosting be on the same invoice?

It can be, on its own line with the period covered, for example “Hosting, Jan to Dec”.

How do I bill a maintenance retainer?

Send one invoice per month or quarter with the period in the description, and list extra hours separately.
