Contractors usually separate labour from materials, and bill large jobs in stages (progress billing) according to the contract. Each invoice should say which stage it covers and how much has already been paid.

Photos of the finished work are useful proof. Add them to the invoice so the client sees exactly what is being billed.

What to put on a Contractor Invoice

  • Job address and description. Where the work was done and what was done.
  • Labour. Hours or days per trade, with the rate.
  • Materials. Each material with quantity and unit price.
  • Stage of the work. For example “Stage 2 of 4: structure”, with payments already received.
  • Photos. Before and after pictures as proof of the work.

Questions about the Invoice Generator

How do I bill a deposit already received?

Enter it in “Amount paid”: the invoice shows the total, the amount paid and the balance due.

Should materials be marked up?

That depends on your contract. Many contractors include a margin on materials; show the price you agreed with the client.

Can I add photos of the job?

Yes. Add up to 6 photos in “Photos”; they appear at the end of the invoice.
