What is a Statement of Account?
A statement of account lists every charge and payment between you and a customer over a period, starting from the opening balance. It shows the customer exactly what is still outstanding.
Create a customer statement of account online with a running balance. This free account statement generator lists invoices and payments by date, starts from the opening balance and shows the closing balance due, so customers can reconcile their accounts and pay what they owe.
What to include on a statement of account
- Statement date and period. The start and end dates the statement covers.
- Customer account details. Customer name, address and account number.
- Opening balance. The amount owed at the start of the period, brought forward from the last statement.
- Every transaction. Date, reference (invoice or payment number), description, charges and payments.
- Running and closing balance. The balance after each line and the total amount due at the end.
How to prepare a statement of account
- Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
- Add the other party's details and the document number and dates. Numbers increase automatically.
- List the items. Quantities, prices, taxes and totals update in the preview as you type.
- Pick a template, colour and document language, then click "Download PDF" or "Print".
Statement of account mistakes
- Opening balance that does not match the previous closing balance.
- Missing payment references, so the customer cannot match them to their bank records.
- Sending statements irregularly: a monthly statement keeps late payments visible.
