Design clients often compare the invoice with the quote line by line, so list the same items: concepts, revisions, final files and usage rights. When the invoice matches what was agreed, it gets approved without questions.

If you transfer copyright or grant a licence, say so on the invoice. It protects you and reminds the client of the value of what they receive.

What to put on a Graphic Design Invoice

  • The design deliverables. Logo, brand guidelines, social media kit, print files: one line each.
  • Revision rounds. State how many were included and bill extra rounds separately.
  • Usage rights. For example “Full rights transferred on payment” or a limited licence.
  • Print or stock costs. Pass on printing or paid fonts and images as separate lines.
  • A reference to the quote. Mention the quote or contract number so the client can match them.

Questions about the Invoice Generator

When should a designer send the invoice?

Many designers ask for a deposit before starting and send the final invoice before handing over the editable files.

Should I charge for revisions?

Include a fixed number of revision rounds in your price and bill extra rounds at an hourly rate, as agreed in your quote.

How do I show usage rights on an invoice?

Add a line or a note such as “Copyright transferred to the client on full payment”, matching your contract.
