What is a Commercial Invoice?

A commercial invoice accompanies international shipments. Customs authorities use it to check the value, origin and description of the goods and to calculate duties, so it carries exporter, importer, Incoterms and port details.

Make a commercial invoice for international shipping in minutes. This free commercial invoice generator includes the fields customs officers look for, such as Incoterms, country of origin and ports of loading and discharge, and exports a clean PDF for your courier or freight forwarder.

What to include on a commercial invoice for customs

  • Exporter and importer details. Full legal names, addresses, phone numbers and tax or EORI numbers where required.
  • Invoice number and date. A unique reference that matches your shipping documents.
  • Precise goods description. What each item is, what it is made of and what it is used for. Add HS codes when you know them.
  • Quantity, unit value and total value. Customs duty is calculated from these values, so they must match the real transaction.
  • Country of origin. Where the goods were manufactured, not where they were shipped from.
  • Incoterms and ports. The agreed delivery term and the ports of loading and discharge.
  • Signature and declaration. A signed statement that the information is true and correct.

How to fill in a commercial invoice

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Mistakes that delay shipments at customs

  • Generic descriptions such as “parts” or “samples”: customs may hold the parcel until you clarify.
  • Undervaluing goods to reduce duty: it is illegal and can lead to fines and seized shipments.
  • Inconsistent details between the commercial invoice, packing list and air waybill.

Questions about the Commercial Invoice Generator

What is the difference between a commercial invoice and a proforma invoice?

A proforma invoice is sent before the sale as a quotation. A commercial invoice records the actual sale and travels with the goods for customs clearance.

How many copies of a commercial invoice do I need?

Couriers usually ask for three signed copies: one attached to the package and two for customs. Check your carrier’s instructions.

Do I need a commercial invoice for samples or gifts?

Yes, most countries still require one. Mark the goods as “no commercial value” and state a realistic value for customs purposes.

Is the Commercial Invoice Generator free?

Yes, completely. There is no sign-up, no watermark and no limit on how many documents you create.

Is my data safe?

The document is built entirely in your browser. Nothing you type is sent to our servers; drafts are kept only on your device.
