What is a Debit Note?
A debit note adjusts an invoice upwards, for example when extra goods were delivered or a price was undercharged. Buyers also issue debit notes to suppliers when returning goods.
Create a debit note online for free to adjust an invoice upward or document a purchase return. The debit note generator references the original invoice, explains the reason and calculates tax, so both sides can update their accounts correctly.
What to include on a debit note
- The title “Debit Note” and a number. Use its own sequence so it can be tracked separately.
- Original invoice reference. The invoice whose amount is being adjusted.
- Reason for the debit. Undercharged price, additional work, extra freight, or goods returned to the supplier.
- Itemised amounts and tax. Quantities, prices and the tax applied to the additional amount.
- Total amount. The extra amount payable or the value of the goods returned.
How to create a debit note
- Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
- Add the other party's details and the document number and dates. Numbers increase automatically.
- List the items. Quantities, prices, taxes and totals update in the preview as you type.
- Pick a template, colour and document language, then click "Download PDF" or "Print".
Debit note mistakes to avoid
- Issuing a new invoice instead of a debit note for a correction, which double-counts the sale.
- Leaving out the reason, so the other party rejects the adjustment.
- Forgetting to apply the correct tax rate to the extra amount.
