Consultants bill time (hours or days), fixed fees for a deliverable, or a monthly retainer. Big clients often need a purchase order number on the invoice before they can pay, so ask for it at the start of the engagement.

Expenses such as travel and accommodation are usually re-billed at cost. Keep the receipts and list them separately from your fees.

What to put on a Consulting Invoice

  • Engagement reference. Contract or purchase order number required by the client.
  • Time billed. Days or hours with dates, and the rate agreed.
  • Fixed fees. For a report, an audit or a workshop.
  • Expenses. Travel, hotel and meals at cost, with receipts available.
  • Payment terms. Many corporate clients pay at 30 days; state it clearly.

Questions about the Invoice Generator

Where do I put the client’s PO number?

In “PO number” in Document details. It appears in the header of the invoice.

Should expenses include tax?

Re-bill expenses at their net cost and apply your tax rate if your tax rules require it. Ask your accountant if unsure.

Can I attach a timesheet?

Yes. Create it with the Timesheet generator, or convert a timesheet into an invoice in one click.
