What is a Purchase Order?

A purchase order (PO) is sent by a buyer to a supplier to order goods or services. Once accepted, it becomes a binding agreement on items, quantities, prices and delivery.

Create a purchase order online for free and send suppliers a clear, numbered order. This PO generator records the items, agreed prices, delivery date and payment terms, so you can match the supplier’s invoice against your purchase order before paying.

What to include on a purchase order

  • PO number and date. Suppliers quote this number on their invoice, so number your POs in sequence.
  • Supplier and ship-to details. Who you are ordering from and where the goods must be delivered.
  • Items, quantities and agreed prices. With product codes or specifications where possible.
  • Delivery date and shipping method. When you need the goods and how they should arrive.
  • Payment terms. For example Net 30 after delivery.
  • Authorisation. The name or signature of the person approving the order.

How to create a purchase order

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Purchase order mistakes to avoid

  • Ordering without a PO number, which makes three-way matching impossible.
  • Vague item descriptions that let the supplier send the wrong product.
  • Not recording the agreed price, so the invoice cannot be checked.
