What is a Credit Note?

A credit note reduces the amount a customer owes on an earlier invoice, for example after a return, a damaged delivery or an overcharge. It references the original invoice and the reason for the credit.

Create a credit note online to reduce or cancel an invoice correctly. This free credit note generator links the credit memo to the original invoice number, records the reason and the amounts credited, and produces a PDF you can send to your customer and keep for your accounts.

What to include on a credit note

  • The title “Credit Note” and its own number. Credit notes have a separate number sequence from invoices.
  • Original invoice reference. The number and date of the invoice being corrected.
  • Reason for the credit. Returned goods, overcharge, discount, damaged item or cancelled service.
  • Items and amounts credited. Show what is being credited with quantities, prices and tax.
  • Total credit. The amount deducted from the customer’s balance or refunded.
  • Both parties’ details. The same seller and customer details as on the original invoice.

How to issue a credit note

  1. Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
  2. Add the other party's details and the document number and dates. Numbers increase automatically.
  3. List the items. Quantities, prices, taxes and totals update in the preview as you type.
  4. Pick a template, colour and document language, then click "Download PDF" or "Print".

Credit note mistakes to avoid

  • Editing or deleting the original invoice instead of issuing a credit note.
  • Not referencing the original invoice, which makes the credit impossible to reconcile.
  • Crediting the net amount but forgetting the tax, so VAT records no longer match.

Questions about the Credit Note Generator

When should I issue a credit note?

Whenever an invoice you have already sent needs to be reduced or cancelled: returns, pricing errors, agreed discounts or services not delivered.

Is a credit note the same as a refund?

Not quite. A credit note records the reduction. The customer may then receive a refund or use the credit against a future invoice.

Can I convert an invoice into a credit note?

Yes. Open the invoice, use “Convert to” and choose Credit Note: the client, items and original invoice number are filled in for you.

Is the Credit Note Generator free?

Yes, completely. There is no sign-up, no watermark and no limit on how many documents you create.

Is my data safe?

The document is built entirely in your browser. Nothing you type is sent to our servers; drafts are kept only on your device.

Can I edit a document after downloading it?

Yes. Click "Save" and the document appears on the My documents page, where you can open, duplicate or delete it.

Can I change the currency and tax name?

Yes. Choose from more than 150 currencies and rename the tax line to VAT, GST, TVA, IVA or anything else.
