Ask suppliers to price a list of items before you buy. Free, no sign-up, PDF in one click.
What is a Request for Quotation?
A request for quotation (RFQ) invites suppliers to quote prices for a list of items or services. Comparing the replies helps you choose the best offer before issuing a purchase order.
Create a request for quotation (RFQ) online and send the same clear list to several suppliers. This free RFQ generator records the items, quantities, units, delivery date and response deadline, so suppliers can price exactly what you need and you can compare quotes fairly.
What to include in a request for quotation
- RFQ number and date. Suppliers quote it in their reply.
- Items, quantities and units. With specifications, brands or standards that matter.
- Response deadline. The date by which quotes must be received.
- Required delivery date and place. So suppliers can include delivery in the price.
- What the quote should contain. Unit prices, taxes, validity, delivery lead time and payment terms.
How to send a request for quotation
- Enter your business name, address and logo in "Your business". Save them as your default and they will be filled in next time.
- Add the other party's details and the document number and dates. Numbers increase automatically.
- List the items. Quantities, prices, taxes and totals update in the preview as you type.
- Pick a template, colour and document language, then click "Download PDF" or "Print".
RFQ mistakes to avoid
- Sending different details to different suppliers, which makes quotes impossible to compare.
- No response deadline, so replies arrive too late.
- Leaving out quantities, which changes unit prices significantly.
