An HVAC estimate names the equipment (brand, model, size in tons or BTU, efficiency rating), then the materials, ductwork changes, labor, removal of the old unit, permit and warranty. Homeowners compare HVAC bids closely, so model numbers and warranty terms matter as much as the price.
Free alternative to HVAC estimating software: you can send a professional, itemized bid without a subscription. Save your company and license details, reuse the estimate for similar jobs and convert it into an invoice after installation.
What to put on an HVAC estimate
- Equipment. Brand, model, size and efficiency rating for each unit.
- Materials and ductwork. Line set, pad, thermostat and any duct modifications.
- Labor and removal. Installation hours and disposal of the old system.
- Permit. Mechanical permit and inspection.
- Warranty and rebates. Equipment and labor warranty, and any rebates the client may claim.

Questions about the Estimate Generator
Should I list model numbers?
Yes. Clients often compare bids by model, and the exact model protects you if the client later asks why a cheaper bid differed.
Can I offer good, better and best options?
Create one estimate per option, or list the options with a note that the client picks one. Each estimate can be saved and sent separately.
How do I handle rebates?
Mention possible utility or tax rebates in the notes, but do not deduct them from your price unless you process them yourself.
