An auto repair estimate identifies the vehicle (year, make, model, VIN and mileage), then lists the parts with part numbers, the labor hours and rate for each operation, paint and materials, and shop supplies. Many states require a written estimate before repairs over a set amount and the customer’s approval for extra work, so check your state’s rules.

Free alternative to auto repair estimating software: write the estimate here, add photos of the damage for the customer or the insurer, and convert the approved estimate into a repair invoice when the car is ready.

What to put on an auto repair estimate

  • Vehicle details. Year, make, model, VIN and mileage, in the notes or the first line.
  • Parts. Part names and numbers, and whether they are new, OEM or used.
  • Labor. Hours per operation and the hourly rate.
  • Paint and supplies. Paint and materials, and shop supplies.
  • Approval. The customer’s signature, and how extra repairs are approved.

Questions about the Estimate Generator

Is a written estimate required for car repairs?

In many states, yes, for repairs above a set amount, and the shop must get approval before going over the estimate. Rules differ by state, so check yours.

Can I add photos of the damage?

Yes. Add up to 6 photos under Photos; they print at the end of the estimate, which helps with insurance claims.

Where do I put the VIN?

In the notes or in the details of the first line, together with the mileage.
